WhatsApp Business app vs WhatsApp Business API: which one does your business need?

· 8 min read · By Chatziq Team

Three things are called “WhatsApp for business”, and they are very different. Pick the wrong one and you either pay for features you never use, or hit a wall the day you get busy. Here is the plain-language difference.

1. The WhatsApp Business app: free, on your phone

This is the free app from WhatsApp. You use your own number, show a business profile, and get a few tools: a catalog, labels to sort chats, quick replies you can call up with a shortcut, and a greeting and away message.

It is perfect when one or two people answer messages from a phone. Its limit is that it only helps you answer faster by hand: nothing answers for you at midnight except a fixed away message, and it can't read what a customer wrote.

  • Cost: free
  • Best for: a single shop or clinic where one person replies
  • Limit: every reply is typed by a person

2. The WhatsApp Business API: official, for software

The API (the WhatsApp Business Platform) is what software companies connect to. It is for businesses that want chatbots, many agents on one number, or large broadcast campaigns, and it is run through Meta or one of its approved providers.

Two things to know before choosing it: it is billed by Meta per delivered message on top of your software's price (marketing messages cost the most), and a number registered to the API has traditionally not worked in the normal app on your phone at the same time (check what your provider supports today).

  • Cost: the provider's monthly plan, plus Meta's per-message fees
  • Best for: larger teams and big broadcast campaigns
  • Limit: more setup, and ongoing per-message costs

3. A linked number: the app you already use, plus an AI

A third way sits between the two. Some tools, Chatziq among them, link the WhatsApp number you already use, the same way WhatsApp Web does, and add an AI that answers customers for you. You keep your number and your chats, and there are no per-message fees from Meta on a linked number.

The trade-off is that you rely on a linked session rather than the official API, so a careful setup matters: a separate number for outreach, no spam, and a switch to the official API later if you outgrow it. Our number-safety guide explains the rules we follow.

4. Which one should you pick?

A simple way to decide:

  • One or two people reply, and a few dozen chats a day: the free Business app is enough.
  • Messages arrive all day and night, and you want them answered on your own number without hiring: a linked-number AI tool.
  • Several departments, high volumes or big broadcasts, and you have a team to run it: the official API with a provider.

5. Can you start small and move later?

Yes, and that's the safest path. Start on the free app, move to an AI on your linked number when replying by hand becomes the bottleneck, and consider the official API only if you need what it alone offers. Each step keeps your customers' chats and your number.
